So the January tournament is over, I ended up in good standing at 3rd or 4th place. So here are some recommendations so that the February one goes off without problems.
Organization
Have at least 5 "staff" members or judges to help tally up the tournament results and solve discrepancies in organizations (the matchups, ties, overextension). (things wll be hectic)
Ensuring correct match reporting (This could be impossible). Currently you are relying on the honor system, and the fact that the prizes are small (but appreciated), but should the tournament begin charging admission, giving larger prizes, or simply someone wants to win at all costs there is no way to currently say that someone one actually has won a game over another, there is no registry, what I do is take screencaps of my victories to prevent cheating, I would recommend that to everyone.
Ties in this tournament were nonexistent but must now be incorporated.
Scheduling
Have hard times for ending the rounds and starting the tournament, This saturday everyone was unsure whether to just start playing or wait for someone to tell us to begin. Also you need to be able to penalize people for not showing up. Magic has for competitve REL rules if you are 5 minutes late you lose a game, 10 minutes you forfeit the match.
You also have to notify all the people in the middle of play that the match is ending and tally their score so far.
You must also allow extra time for solving problems and emergencies, when you do so you should both post in game and in the forums, in the event that you need 15 mins to solve a complex issue.
Communication
Have a SINGLE thread or a webpage where ALL updates are posted. If you look at this tournament you will find an original schedule that was never updated (was filled with wrong dates), all updates on very important information are completely dispersed, the post where prizes were finalized is lost in a thread about John quitting the tournament, all the matches of Saturday are in a thread in Organized Play, in other words there was no dependable place to go to for information and more than once I had to be informed of something by my guild members that I couldn't find.
Have a single thread per round for players to report results.
Use the general chat to communicate to all players round start times and end times
Overall this was a great tournament, with a little more planning it could be excellent, I believe that it will be very difficult to run the February tournament without running into major complications, but if you heed my advice you could minimize them.
